Warehouse Admin

HEINEKEN Timor is seeking for Warehouse Admin to ensure receiving/sorting/storing/delivering/supplying targets are met within cost, time, quantity and quality standard.

Key responsibilities:

  1. TPM & Continuous Improvement
  • Record data to contribute to DCS.
  • Initiates actions to improve in safety, warehousing processes, assets, stock quality and/or inventory management.
  • Participate in TPM improvement activities.
  • Ensure all the warehousing assets and equipment are maintained in good working condition according to the applicable regulations.
  • Ensure all the available assets and equipment are properly used according to the specifications.
  1. Storage & stock quality assurance
  • Perform receiving / sorting / storing / delivering / supplying  process as per SOP to maintain smooth warehouse operation.
  • Ensure incoming and outgoing materials or shipments are accurate and free of damage and FIFO/FEFO delivery are controlled adequately.
  • Ensure proper stock rotation, keep appropriate records and reports to guarantee that tight inventory control and security are maintained and assist in physical inventories.
  • Perform inventory control for daily production schedule or distribution schedule.
  • Monitor and control proper physical storage conditions preserve the quality of the goods.
  • Regularly inspect the outer packaging quality for incoming and outgoing goods. Separate quickly quality defective goods in stock and ensure that they are not picked.
  • Performs root cause analysis on stock quality issues.
  1. Administration execution (Internal & excise documentations, JDE transaction, and other relevant reports)
  • Perform documentation and data processing through JDE and/or Excel-based Warehouse Management system as per SOP to ensure on time data accuracy and product/material tracebility.
  • Perform excise document control and close coordination and communication with excise officer to ensure on time conformance to goverment regulation.
  • Perform on-time documentation regarding day to day warehouse operation
  1. Inventory Management
  • Check incoming and outgoing goods against shipping documents.
  • Correctly register goods movements.
  • Organize regular stock counting in accordance with procedures in order to maintain data accuracy and product/material traceability.
  • Perform analysis for inventory discrepancies and bring discrepancies to the attention of the team leader for correction.
  • Perform together with Team Leader full root cause analysis.
  • Correctly register scrapping and write-off.
  1. Warehouse Planning & Process Management
  • Execute activities according to the weekly plan. Monitor deviations from the plan and escalate to the team leader if needed.
  • Allocate on a daily basis the available resources (staff, space and equipment) to warehouse activities.
  • Control that planned activities are being carried out by monitoring the progress of the warehousing activities, in terms of tasks completed, pending and expected. Reallocate resources or escalate to team leader when necessary.
  • Give clear instructions to the warehouse operators on their daily tasks.
  • Perform On-time material supply and product distribution
  1. Safety and house-keeping
  • Maintain good hygiene and safety standards in the warehouses.
  • Act in accordance with the safety regulations.
  • Report accidents, incidents, near misses, unsafe conditions and behaviours.
  • Stimulate an open environment where safety is put first, by sharing safety concerns, acting as an example and addressing each other on safety.

Qualifications:

  • Diploma (Supply chain, Logistics, Economics or Finance)
  • Experience in Warehouse or logistics operations are required
  • Skills required: Microsoft Office (Excel, Word, PowerPoint)
  • Able to read and write in English
