About Women and Youth Creating Our Future (WYCF)
The Women and Youth Creating Our Future (WYCF) is a 5-year program funded by the US Government in Timor-Leste. Its goal is to support Institute of Business (IOB) to launching a center for entrepreneurship and employment called SENTRU to strengthen the workforce readiness, and technical and entrepreneurship skills of Timorese youth (including out-of-schools) and adult women.
Scope and Purpose
An Admin and Operation Assistant is responsible for providing and supporting administrative, clerical and operational support to an organization WYCF and SENTRU include:
- Greeting and directing visitors, answering phone inquiries and handling complaints in professional manner
- Maintaining inventory of office supplies and Keeping track of inventory and ordering supplies
- Ensuring office supplies are maintained, including checking inventory and working with vendors to ensure adequate levels of necessary supplies at all times
- Managing and updating organization filing system
- Maintaining financial, employee, and client records
- Prepare events/workshop, scheduling meetings, making travel arrangements and prepare agenda
- Managing the maintenance of office equipment and maintain office supplies
- Coordinate traveling off-site to deliver office supplies, items and equipment's to the Municipalities
- Maintain a system for recording expenses and the use of petty cash
- Ensuring the confidentiality and security of files and filing systems
- Ensuring that all project transactions are booked timely & accurately and preparation of all requests for payment
- Carrying out control and filling of all documents related with financial activities, invoices and other documents relating to project transactions
- Operating copy equipment, fax machines, printers or other equipment necessary
- Providing administrative support to other departments or projects as needed
- Performing other duties as assigned
Skills and Experiences
- Associate degree required; Bachelor's degree and related field preferred
- 3 – 5 years of experience in administrative role
- Excellent verbal and written communication skills
- Excellent interpersonal and customer service skills
- Proficient in Microsoft office and emails
- Excellent organizational skills and attention to detail
- Basic understanding of clerical procedures and system such as recordkeeping and filing
- Ability to work independently
